You need
A meeting recorder with transcripts (e.g. Fathom or Fireflies), An AI assistant (e.g. Claude), A project or docs tool (e.g. ClickUp or Notion)

A working path from a recorded client call to drafted posts, emails and briefs, using a recorder, an AI assistant and your project tool. What it does and does not do.

Filed as: Tutorials > Marketing. Written for a business owner with revenue who is still writing their own posts at 11pm.

You had four client calls this week. You explained the same thing three times, said something sharp in the second one, and by Friday you could not remember what it was. Then you sat down to write a post from scratch.

That is the part worth fixing. Not the writing. The forgetting.

## What this actually is

A repeatable path from one recorded call to a set of drafts. It is not automatic and it does not run itself. It gives you drafts, and drafts still need you.

## What you need

- A meeting recorder that produces a transcript (Fathom and Fireflies both do; so does the recorder built into most call software) - An AI assistant you already pay for - Somewhere the drafts land: ClickUp, Notion, a shared doc, a folder. Any of them work. Pick the one your team already opens.

## The steps

1. Record the call. Tell the client you are recording, and say why. If they say no, that call is out. This is the step people skip and it is the one that ends badly. 2. Pull the transcript once the call ends. 3. Strip anything client-specific before it goes anywhere: names, figures, the deal they are in the middle of. Do this every time, not when you remember. 4. Paste the cleaned transcript into your AI assistant with a prompt that names the formats you actually publish. Not "make content". Something like: *"From this transcript, pull the three questions I answered. For each, write a short post in my voice. Use only what is in the transcript. If there is nothing worth saying, say so."* 5. Put the output where your team can see it. 6. Read every line before it goes out. You are checking two things: did it invent anything, and does it sound like you.

## The prompt is the whole job

The difference between this working and this producing filler is one instruction: **use only what is in the transcript.** Without it the model fills gaps with the generic marketing sludge everyone can now spot in a sentence. The "unlock", the "seamless", the three perfectly balanced bullets. With it, you get thinner output, and thinner output that is true beats fuller output you have to defend.

## Where this fails

It is worth saying plainly, because most posts about this leave it out.

**Bad calls produce bad content.** If the call was scheduling and small talk, there is nothing in the transcript. No prompt fixes an empty call.

**Recording changes the call.** Some clients get careful the moment you hit record. If the call matters more than the content, do not record it.

**The review step does not compress.** People run this for a month, get comfortable, and start publishing unread. Then a client sees their own situation described in a public post. That is not a content problem, it is a client problem, and it is expensive.

**It does not work while you sleep.** It works while you are not writing. Those are different things, and the second one is still worth having.

## What you should expect

Fewer blank pages. The things you already say well, written down instead of lost. Drafts that need editing, in your voice, about problems you actually solved.

Not a content machine. Not a replacement for having something to say.

*If your calls are worth turning into content but nobody has time to run the loop, that is a different conversation: [book a strategy call](/book-a-call).*

Would rather we just did it?
