The lead called at 9pm. Someone answered, and it sounded like you
# The lead called at 9pm. Someone answered, and it sounded like you It is 9:14 on a Tuesday. You are at the table. Your phone buzzes with a new enquiry, and you already know the two options: pick it up and be the person who takes calls at dinner, or leave it until morning and hope they did not also fill in the form on the next firm's website. Most owners pick the phone up. That is the part nobody says out loud. Not because the lead is worth that much, but because you have watched what happens to the ones you left until Monday. ## What actually goes wrong It is not that you are bad at follow-up. It is that follow-up is a night-and-weekend job and you only have days. The messages you send are also the same messages, over and over. What is your availability. Here is the intake link. Yes, we handle that. No, we do not handle that. You have typed those sentences enough times that you could do it half asleep, and some nights you have. So the enquiry does not die from neglect. It dies from a four-hour gap between someone deciding they want help and someone confirming they can get it. ## What changes The reply goes out while the person still has their phone in their hand. It asks the two or three things you would have asked. It books the call if the answer is yes and it says so plainly if the answer is no. The part that matters more than the speed: it sounds like you. Not like a chatbot doing an impression of a law firm. The way we get there is unglamorous, we feed it your actual past conversations, your recorded calls, the way you already explain your own service, so the wording it uses is wording you have already used. You still read every thread the next morning. Nothing is being hidden from you. The difference is that by the time you read it, the person has an appointment instead of a grievance. ## What this does not do It does not do the work. It does not sit on the call, it does not give advice, and it does not decide who you take on. Anything that needs judgement still comes to you, which means the volume of things needing your judgement goes down but never to zero. It also will not save a bad offer. If people are enquiring and then going quiet after they hear the price, answering them faster gets you to that same silence sooner. That is a different problem and it is worth naming before you spend money on this one. And it is not free of you. Somebody has to tell it what is true about your business, and for the first couple of weeks that somebody is you, correcting replies. Owners who skip that part end up with a fast machine saying things they would never say. ## The honest test Look at your last ten enquiries. Write down the time each one came in and the time you replied. If the gap is under an hour on all ten, you do not need this, you need to stop reading marketing articles. If four of them sat overnight, you already know what this is worth to you, and you knew before you opened this page. --- If you want to talk through whether this fits your business, [book a call](/book-a-call).
